Create a repeatable and reliable list

Instead of just keeping a mental list of things to do in preparation for a new hire’s first day, why not document all that needs to be done?

Using a tool like Excel, make a comprehensive list of everything to be done to prepare for a new employee’s arrival. Break it into sections like, “one week before start date,” “three days before start date”, “day before start date”, and “on first day” to make it more organized and easy to follow.

Also, create and save a new version of this list for each new hire, naming a responsible party to handle the tasks. Having the saved version with items marked off as they are done allows you to hold someone accountable for anything that may have been missed.

Send out information on the new hire prior to their first day

Making employees aware that a new employee will be starting can make the new hire feel more welcome when they arrive.

Include the new hire’s resume so that employees can have a baseline understanding of where they are coming from and who they are to make those initial conversations more natural and to allow for more genuine and quick connections.


Have their workstation ready

Preparing the new hire’s workstation ahead of time will show them how prepared you were for their arrival and is sure to make them feel welcome.

Set them up with their phone, email address, and a list of usernames and passwords, as well as a phone contact list for people in the office. Also give them office products such as pens, sticky notes, and any other common necessities.

Finally, grant them access to the programs they will need to use during training so that they do not have to ask or go through IT themselves to receive the permissions.
